    Under the direction of the Accounting Manager, the Accounting Assistant is responsible for all aspects of Accounts Payable and Payroll.

    Responsibilities

    Major Duties and Responsibilities

    • Perform data entries to the accounting system for documents coded by the staff accountants. Proof, print reports & prepares check printing to ensure check amount & payee agree to supporting documentation.
    • Verify check requests (purchase order) accompanied by original invoices and authorization per agency policies prior to payment (ex: authorized signatures with the level of authorization, name, invoice amount, cost centers…)
    • Facilitate the resolution of differences between purchase orders and vendor statements.
    • Prepare deposit slips for the bank and verify mathematical accuracy. Copy all supporting documentation, attach deposit receipt, and file.
    • Maintain filing system and file source documents
    • Stamp “PAID” on original invoices and purchase orders for paid POs & invoices.
    • View, sort and code timesheets with related needed information.
    • Key payroll data entries in ADP.
    • Boxing files from shelves when needed.
    • Bar coding for archiving.
    • Copy POs & invoices of certain cost centers for billing.
    • Maintain AP check stocks & Purchase Order supplies.
    • Determine vendor’s 1099 status on POs that need to be reported at the end of the year.
    • Provide clerical support to accounting staff.
    • Open, sort, and distribute incoming mail to appropriate staff in the department.
    • Pay agency credit cards and record/ post transactions.
    • Prepare journal entries.
    • Code A/R or A/P for posting to general ledger.
    • Prepare and save yearly AP recurring forms with properly authorization from directors.
    • Help in reconciliation of prepaid and liabilities accounts on a regular basis.
    • Application and reconciliation of cash receipts.
    • Assist in preparation of documentation for annual audit.
    • Process insurance billing.
    • Help the month end processing and balance due to/due from small companies.
    • Other bookkeeping duties as assigned by Accounting Supervisor or Lead Accountant.

    Qualifications

    Minimum Qualifications:

    • High School diploma
    • 2 years’ experience in accounting, bookkeeping, or data entry
    • Strong computer skills, especially Excel
    • 10 key by touch.

    Preferred Qualifications:

    • AA in Accounting
    • Experience with MAS90
    • Experience working in a non-profit environment
