    A successful Operations Coordinator will be a highly organized self-starter.  The Operations Coordinator provides administrative and logistical support to the Agency Director and staff team throughout Catholic Community Services King County. The successful applicant must be able to work in a fast-paced office with attention to detail, ability to multi-task and respond to emergent issues and projects.The Operations Coordinator will provide administrative and technical support to programs to ensure compliance and consistency across CCS King County. They will provide excellent service to all stakeholders with a focus on finding collaborative solutions to any challenges.

    Responsibilities

     

    Program Support & Reporting:

    1. Gather web updates from KC programs monthly to ensure updated information.
    2. Ensure program information is updated with King County 211, agency brochures and other community partners.
    3. Assist Director of Program Support with annual Catholic Charities USA report on all services provided across all KC programs.
    4. Update parish and community partnerships for all KC programs.
    5. Assist programs with survey data collection, data entry and onsite technical support as needed.
    6. Assist Director of Program Support with compliance reviews, confidentiality scans and other Quality Improvement reporting activities.
    7. Provide ongoing reminders and technical support for the completion of required staff trainings across all KC programs.
    8. Gather and track required Fleet Vehicle documentation from program staff.
    9. Assist KC leadership with generating reports to ensure high quality, equitable services across all KC programs.

     Administrative Support

    1. Complete business card and stationary requests.
    2. Accounts Payable Requests.
    3. Bank of America Expense tracking.
    4. Preparing and proofing letters, reports, applications, e-mails and other correspondence.
    5. Responsible for ordering, organizing & expense tracking office and event supplies. Keep office supply closet, Front Desk supplies, and Admin areas organized and well-stocked.
    6. Perform other tasks or special assignments as delegated by Agency Director or designee.

    Event Support:

    1. Support for a wide variety of staff events, including smaller meetings with leadership team or large agency-wide events.
    2. Send out announcements, track RSVPs, order supplies, and coordinate programming for events.
    3. Support workplace giving campaign, CCS Appeal for the Poor and other campaigns in coordination with CCSWW Fund Development and Agency Director.
    4. Represent CCS at service fairs and other community events.

    SECONDARY DUTIES AND RESPONSIBLITIES- AS NEEDED: This position provides back-up to the Operations Cooridnator and Contracts& Grant Manager in overseeing:

     

    Communications & Customer Service:

    1. Respond to CCS King County info email and phone line.
    2. Provide support and direction to the RCC Front Desk staff by ensuring daily coverage, triaging issues, and improving communication systems.
    3. Route communications between the public and CCS King County programs and departments, including referrals and resources.
    4. Ensure KC program directories are up-to-date and communicated across the agency.

     

    Program Opportunities:

    1. Respond to inquiries and coordinate distribution of in-kind donations for KC programs.
    2. Organize annual Zumiez donation, zoo and aquarium tickets, and other community opportunities;
    3. Route volunteer inquiries to KC programs and assist with Volunteer Application process as needed.
    4. Ensure KC programs have access to furniture vouchers and other resources.
    5. Field inquiries for patnerships with other organizations.
    6. Search for new opportunities or partnerships that support program goals.

     

    Hunthausen Fund:

    1. Coordinate all aspects of Hunthausen Fund, including responding to inquiries, processing applications, tracking client data, sending welcome packets, and reporting to funders.

     

    Human Services Bus Tickets:

    1. Coordinate between KC Admin staff, program managers, and King County Metro to ensure compliance with program contract.
    2. Assist with record keeping and fiscal oversight of program.
    3. Log collection from program staff and ensure compliance of programs.
    4. Grant reporting to funder.
    5. Assist with grant application.

    Qualifications

    MINIMUM QUALIFICATIONS:

    1. Demonstrated ability to manage several diverse tasks at the same time and meet deadlines.
    2. Good English composition and proofreading skills.
    3. Excellent word processing skills and solid experience working with Windows, particularly Outlook. Excel and Word programs including drafting and formatting professional spreadsheets and documents. Knowledge of Microsoft Visio is a plus.  Ability to learn new computer skills as needed.
    4. Ability to track a simple budget.
    5. Ability to manage confidential information.
    6. Ability and willingness to work a flexible schedule as needed.

    8. Willingness to learn and work within an environment.
    9. Demonstrates the necessary attitudes, knowledge and skills to deliver culturally competent services and work effectively in multi-cultural situations.
    10. Criminal history background checks are required prior to employment

     

    PREFERRED QUALIFICATIONS:

    1. Bachelor's degree.
    2. Knowledge of services for homeless individuals, low-income housing projects, and resources for low-income people in Seattle
