The Program Coordinator will assist the Program Director with program reporting responsibilities and provide a full range of secretarial, clerical, and administrative support to the immigration department’s legal staff.

  • Assist Program Director with monthly billing reports (city contracts and fee-for-service)
  • Assist Program Director with data collection and reporting
  • Serve as coordinator for 2-3 citizenship clinics hosted by the organization per year
  • Attend variety of monthly and quarterly meetings as representative of the organization and report back to the organization
  • Assist with fundraising opportunities for the organization
  • Monitor phone lines and answer and return phone calls with prospective and existing clients in a professional and courteous manner
  • Conduct thorough intakes with prospective clients by phone
  • Prepare organized and concise intake notes for review by attorney or DOJ accredited rep
  • Schedule consultations and appointments for attorney and DOJ accredited reps
  • Process and distribute incoming mail
  • Record and monitor deadlines
  • Provide administrative support including copying, scanning, filing, and maintaining electronic and physical files
  • Open, close, and archive case files
  • Translate documents from Spanish to English and vice versa
  • Prepare packages for mailing to USCIS
  • Participate in outreach efforts
  • Be available to complete other office tasks as assigned by legal staff




Must possess a combination of education, experience, knowledge, skills, and abilities sufficient to perform the responsibilities of the position.


  • Associate’s degree
  • 1 year of experience in legal support services
  • Fluent in English and Spanish (written and oral)
  • Proficient in MS Office Suite
  • Experience with Microsoft Teams and/or Zoom
  • Attention to detail and accuracy
  • Excellent written and oral communication skills
  • Organized and able to multi-task
  • Able to prioritize workload with frequent interruptions
  • Able to work independently, complete projects, meet deadlines, and problem solve while maintaining high ethical standards
  • Positive customer service/interpersonal skills
  • Sound judgment and decision-making skills
  • Strong desire to work with refugees and immigrants
  • Sensitive to immigrant/client issues, including cultural and religious differences and trauma they may have experienced
  • Able to work within the mission, goals, and objectives of Catholic Community Services of Western Washington



  • Bachelor’s degree in social services or related field
  • At least 1 year of experience in immigration legal support services
  • Fluency in a second language
