Job Summary

The Staff Accountant must perform critical and accurate analysis in the vast majority of their tasks in our complicated nonprofit environment. These include reconciliation of accounts on the accounting books and review and analysis of financial information sent to the accounting department by programs, vendors, and contractors. Very good communication skills with both accounting and non-accounting personnel are essential. The position must perform their job while working under strict time deadlines.

Responsibilities

  • Analyze and prepare the monthly general journal entry from the ADP reporting system for all the programs salaries, benefits, and taxes. This is a critical process of monthly financial statement preparation. Upon completion download the data to the Access data base for distribution to the programs pursuant to agency policy. Then export the allocated data to the Sage 100 (the accounting software).
  • Record on a monthly basis the correct amount expense after analyzing each of the 30 prepaid accounts, to be recognized as period adjustments. Those expenses that need to be allocated to multiple programs will then be allocated using the data based with by using the correct unit basis for the allocation.
  • Determine from check requests when new prepaid accounts need to be established.
  • At yearend analyze and adjust to close accounts for certain prepayments and adjust the corresponding program expenses.
  • Prepare the audit schedule for all prepaid accounts and agency leases.
  • For all programs that have service fee revenue this position will review and verify the accuracy of those revenues each month and make inquiries to programs and/or adjustments as necessary.
  • Regularly post the payroll reports details for salaries, benefits and taxes to the shared accounting folder for use by the program managers in budgeting and invoicing.
  • Calculate the agency liability for L&I expense by analyzing the ADP reports in the Access Data Base. Reconcile all balances to the General Ledger. Make sure payments of these liabilities are timely to avoid late penalties.
  • Assist the Finance Director to update the comp calculator on program budgets.
  • Assist their supervisor, the Contracts and Benefits Supervising Accountant, with any special report generation for contracts (quarter contract reporting or grant proposals), contract invoicing, and any manager’s requests for custom financial information.
  • Perform additional tasks as assigned.

Qualifications

Minimum Qualifications

  • Bachelor’s Degree in Accounting from an accredited university.
  • One year of increasing professional responsibility in accounting / financial management.
  • Excellent interpersonal skills.
  • Very strong computer skills, especially in Excel and accounting software packages.

Subsitute Qualifications

(Either of these options will be considered as a substitute qualification for the Bachelor's Degree in Accounting)

  • Over 10 years of accounting experience.
  • AA Degree with 4 years’ experience in a nonprofit, government funded, social services environment performing professional level duties equivalent to a staff accountant.

Preferred Qualifications

  • Experience in a nonprofit, government funded, or social services environment.
  • Experience with Sage 100 accounting software.
