Position Description: The Program Coordinator manages a network of an average of 90 ongoing volunteers and 400 episodic volunteers annually who provide in-home support to older adults living with chronic health conditions and disabilities in the Southwest Region of WA State (13 Counties; Clallam, Clark, Cowlitz, Grays Harbor, Jefferson, Kitsap, Lewis, Mason, Pacific, Pierce, Skamania, Thurston and Skamania).  Responsibilities include screening program participants, home visits to determine scope of project, supporting clients with information and referrals, community outreach, volunteer recruitment, ongoing supervision of volunteers, and group project coordination

Program Description: Volunteer Services is a community-based service that provides free chore assistance for low-income elders and adults with disabilities, with the primary goal of ensuring that they retain dignity and residence in the familiar surroundings of their home or apartment. The program is unique in also serving individuals under age 60 who have disabilities. VS foster opportunities for social and civic engagement. VS ensures that vulnerable adults who cannot afford to pay for help they cannot complete on their own, and do not qualify for state paid services receive services that support their health and well-being, and allow them to remain living independently

MAJOR DUTIES AND RESPONSIBILITIES

Manage Volunteer Care Coordination of Services

2. Maintain wait list and prioritize service requests based on needs/resources of client and volunteer availability.
3. Conduct in-home visits to assess for appropriateness with program and provide enrollment materials to clients on program policies and guidelines.
4.  Provide resources and/or referrals to other services as needed.
5. Record and enter case notes into database regarding client health, behavior and referrals.
6. Record and track status of services and requests in database in timely manner.
7. Through home-visits, phone calls, and communicating with volunteers matched with the client, assess the wellbeing and needs of VS clients, and make reports to Adult Protective Services as needed.
8. Monitor client satisfaction and/or referrals to other services as needed.
9. Work with VS Team to develop emergency plan for service delivery in event of natura disaster or pandemic flu.
10. Work with clients, their case managers, family members, and the volunteers who serve them to address issues that come up in correlation with aging, mental and/or behavioral concerns and physical health issues.
    
    

Volunteer Recruitment and Management (average of 90 ongoing and 400 episodic)

1. Manage and oversee regional network of volunteers placed remotely in the homes of clients.
2. Establish and institute a recruitment strategy for assigned geographic area, including the placement of ads, forming partnerships with agencies serving the same population, and outreach to community groups and organizations.
3. Orient and train volunteers to ensure maximum understanding of program policies and agency guidelines assure confidentiality and promote safety.
4. Maintain regular cod ntact with volunteers. Collect, track and report volunteer hours on monthly basis, and maintain notes in electronic volunteer record in database in a timely manner.
5. Monitor and evaluate volunteer satisfaction through monthly contact and annual survey.
6. Provide ongoing support for volunteers, checking in regularly and providing coaching to ensure that volunteers observe proper boundaries and effectively complete their assignments, and redirect or end their volunteer assignment when necessary.
7. Develop and implement recognition activities for motivation and retention of volunteers.
8. Identify and recruit volunteers to serve in leadership roles that include outreach recruitment and coordination of services.
9. Register, train and supervise one-time and on-going group projects.

Community Relations and Outreach

1. Research and implement recruitment plan to meet service needs in communities.
2. Establish partnerships with local faith communities, service organizations, businesses and schools to create volunteer opportunities and provide chore support for older adults.
3. Maintain active presence in region by representing the program and agency at community events, meetings, fairs and presentations.
4. Network with other service providers to ensure strong working relationships.
5. Participate in community meetings, service provider and/or advocacy groups.
6. Work closely with local city governments to coordinate services for their residents.

Oversight of Volunteer Leaders, Office Volunteers, Service Learning Students and Interns

1. Recruit, interview, and provide training and oversight for volunteers assisting with program support (i.e. interns, volunteer leaders, office volunteers and service learners) to ensure understanding of program policies and confidentiality.
2. Develop volunteer position descriptions and work plans to meet goals for volunteers and program.
3. Provide performance feedback and on-going training as needed.
4. Identify recruit, train and oversee 5-10 volunteers serving in leadership roles.
5. Maintain regular contact to provide adequate oversight and resources.
6. Complete evaluation forms for service learning students.           

General Responsibilities

2. Maintain accurate record of hours worked and turn in timesheets on schedule.
3. Attend trainings required of employees as scheduled.
4. Participate as team member in staff and supervisory meetings as required.

6. Perform other job-related duties as assigned.

Minimum Qualifications

• 5  years of equivalent experience or a Bachelor’s degree in social services, volunteer management.
• Experience managing volunteers and/or supervising employees.
• Excellent phone and customer service skills.
• Interest in working with elders and adults with disabilities and concern for their well-being.
• Knowledge of community resources.
• Ability to work effectively with individuals of diverse backgrounds to achieve a common goal.
• Demonstrated ability to prioritize tasks.
• Proficient computer skills in MS office.
• Ability to travel extensively throughout their area. Occasional evening and weekends required.
• Valid WA state driver’s license, Insurance and access to insured vehicle for outreach and community meetings. Ability to comply with agency employee driving policy.

            Preferred Qualifications

• Fluency in second language.
• Experience working with non-profit agencies.
• Work or volunteer experience with elders and adults with disabilities.
• Experience in event planning and/or project management.
